Provision for Receivables

Updated

Provision for Receivables is, as practitioners describe it, a temporary hold or credit memo Amazon applies against a first-party (1P) vendor's payment when the costs the vendor is expected to owe Amazon, chiefly co-op, marketing and rebates, are forecast to exceed the purchase-order payments Amazon expects to owe the vendor. Amazon publishes no page that names it. It shows up on the remittance, Amazon's statement of what it paid and what it took off, looking like a deduction. In practitioners' accounts it is not an Amazon vendor deduction, and it is not money you can recover.

Practitioners trace it to a timing mismatch. Co-op, the allowances a vendor funds under its agreement with Amazon, accrues as Amazon receives the goods, while purchase-order payments run on longer negotiated payment terms. Until the co-op settles, the remittance arrives later and smaller than the invoices suggest. Then the hold reverses. A deduction does not.

How do you tell it apart from a real deduction?

By the reference it lacks and the way it reverses.

  1. No reference number. Practitioners report the line carries no invoice or purchase-order number, so it fails automated matching and lands in the same exception queue as genuine deductions, such as a shortage claim, a co-op charge or other contra-COGS (vendor-funded money Amazon books against its cost of goods sold, or COGS).
  2. A recognizable name. Practitioners report it posts under a dated name ending in "PROVISION_FOR_RECEIVABLES", with an "-R" suffix when it reverses, usually within about a week. Amazon can change that naming without notice, so check the line names on your own remittance file.
  3. No dispute. Practitioners describe it as a hold Amazon releases, not a charge it keeps, so there is nothing to dispute or win back.

Left in the queue, these lines make an audit overstate the money a vendor can win back. Separate them out before the margin recovery audit counts anything recoverable. Genuine deductions are the subject of the article What Are Amazon Vendor Central Deductions?
